How to Book a Gdańsk Airport Taxi in Advance: Pickup Times and Meet & Greet

A 6:10 a.m. flight, an alarm at 3:50 and one question: will anything actually turn up at that hour? Booking a Gdańsk Airport taxi in advance turns that question into a text message with a time and a price on it. Here is when to book, how to set the pickup time at your flat or hotel, what to put in the booking so the driver finds the right entrance before sunrise, and how the name board pickup works when you land.

1) When booking ahead really pays off

In the middle of the day you can usually find a car in the Tricity without planning anything. The trouble starts exactly where most holiday and business flights start: the first wave of departures from Gdańsk leaves early, when the streets are empty and ride apps show long waits or no cars at all. Anyone who has stood outside a block of flats at 4:30 a.m. with a suitcase, refreshing the screen, knows that fifteen minutes of uncertainty at that hour feels like an hour.

A booking made in advance works the other way round: the ride is assigned to you, to a specific time and address, before you even go to bed. It is worth doing in particular when:

  • ✓Your flight leaves before 7 a.m. Fewest cars on the road, and the smallest margin for error before check-in.
  • ✓You land late in the evening or at night. The rank queue after several planes land together can be long.
  • ✓It is a summer Saturday, a long weekend or the Christmas period. Everyone travels to the airport at roughly the same hours.
  • ✓You travel with children, bulky luggage or in a group. A child seat or a larger car has to be arranged beforehand.
  • ✓Your address is outside the Tricity. In Wejherowo, Tczew or the Kashubian villages an app car at dawn is wishful thinking.

2) Taxi to the airport: what time to set the pickup

The most common mistake when ordering a taxi to the airport is counting from the wrong end. The starting point is not "when will I get up", it is the departure time. From that you subtract the time you need at the airport, then the drive, and finally a small buffer for carrying the bags down and for surprises on the road.

  • ✓Schengen flight with cabin baggage only: be in the terminal about 1.5 to 2 hours before departure.
  • ✓Checked baggage or a non-Schengen flight (to the UK or Norway, for example): make it 2 to 2.5 hours.
  • ✓Peak summer season and the first morning departure waves: add another fifteen minutes, because security queues grow in jumps.

The drive at dawn is quicker than during the day, because the Tricity ring road and the access roads are empty. The figures below are indicative for the early morning; for afternoon departures in rush hour, allow more.

If you are not sure, simply give us the flight number and the address and we will propose the pickup time with the confirmation. The driver pulls up a few minutes before the agreed time, so you do not need to add your own buffer "in case the taxi is late"; you just need to be downstairs with your luggage at that hour.

3) What to put in the booking so the driver finds you

At 4 a.m. there is nobody to ask for directions, and the newer estates in Gdańsk and Gdynia can have one street name, five entrances and a barrier that opens with a remote. So when you book ahead, it is worth spending a minute on the details that seem obvious in daylight.

House or flat

The full address with the staircase or entrance number, a note about any gate or barrier, and where the car can safely stop. If the entrance is from a different street than the address, say so, or attach a map pin.

Hotel or apartment

The property name, and for rented apartments the exact building address, because the name used on the booking site is often nowhere on the door. Reception may be closed at night, so we meet you outside the entrance.

Passengers and luggage

The number of people, suitcases and any awkward items: skis, a bike, a pushchair, a board. That decides whether a standard car is enough or a larger one should be arranged from the start.

  • ✓A phone number that will be switched on in the morning. The driver calls or texts on arrival at the address.
  • ✓The flight number for departures too. It is essential for arrivals, and for departures it helps us match the time and terminal.
  • ✓A child seat with the child's age or weight so we bring the right model (+30 PLN each).

4) Meet & greet: the name board in arrivals

The other half of the trip is coming back to Gdańsk. Booking ahead has one more advantage here: you do not have to organise anything after landing, when your phone is still hunting for a signal and the hall is full of people from several flights. The service usually called meet and greet works like this with us:

5) Arrival and return in one booking

If you are flying into Gdańsk for a few days, the easiest thing is to order both rides at once: the pickup from the airport and the ride back on your departure day. In the form you simply tick the return transfer and give the date and time. The return ride gets a 10 percent discount if you prepay for both journeys.

Hotel guests in Sopot and the Old Town are especially fond of this, because it takes the last morning of the holiday off the to-do list. You check out and come down with your case at the agreed time. For an early departure it is worth asking reception to settle the bill the evening before, so you are not standing at the desk at dawn.

It works the same way for residents of the Tricity: you book the ride to the airport before your holiday and the pickup for when you come back. Landing at midnight with children and suitcases, you do not have to ask family to drive out or leave your car in an airport car park for a week.

6) Last-minute bookings and changes of plan

Not everything can be planned. The form on the site takes bookings placed at least 2 hours before the ride. At the busiest hours we will tell you honestly if we cannot make it.

Report changes after booking as early as you can, by phone or WhatsApp. The most common ones are:

  • ✓The airline moved your departure. Write to us as soon as you get the notification; for departures you know before we do.
  • ✓Your arrival is delayed. Nothing to do here, flight monitoring lets us adjust the pickup ourselves.
  • ✓The address or the number of passengers changes. Tell us before the ride, and if it changes the route or the car needed, we will confirm the new price.

A quoted and confirmed price is guaranteed for that specific date, so booking a month ahead carries no risk that the amount will be different on the day you travel.

7) What it costs

The price of a taxi to the airport is the same as from the airport and does not depend on the hour. A ride at 4 a.m. costs the same as one at 2 p.m., with no night, weekend or holiday surcharge. The prices are for the whole car for up to 3 passengers with luggage, not per person.

Ideally as soon as your flight is ticketed, and in practice at least a day ahead. For departures before 7 a.m., summer weekends and holiday periods, book several days in advance. The online form accepts bookings placed at least 2 hours before the ride; for anything shorter, call or message on WhatsApp.

What time should the taxi arrive if I have an early flight?

Count backwards from departure: roughly 2 hours at the airport for a Schengen flight (more for non-Schengen or checked baggage in peak season), plus the drive and a few minutes of slack. There is no night or early-morning surcharge, and we confirm the price by SMS or e-mail before the ride.

What does meet and greet at Gdańsk Airport involve?

Your driver waits in the arrivals hall holding a board with your name, helps with the luggage and walks you to the car. We track your flight number, so a delayed landing simply means a later pickup. The first 60 minutes after landing are included at no extra charge.

Can I book the arrival and the return trip at once?
