Business transfer from Gdańsk Airport with a VAT invoice

A business trip, a client pickup from the airport or a team drop-off for a conference all end the same way: the cost has to be expensed. Here is how to book a company ride, what a VAT invoice for a transfer must contain, and why a fixed price makes planning travel costs so much simpler.

Need a ride on a VAT invoice?
Give us the route, date and company details, and we will arrange a transfer with a fixed price and a VAT invoice – including a meet-and-greet pickup in the Gdańsk Airport arrivals hall.
1) Why an invoice matters for a company

For a private traveller, a transfer from the airport is simply a comfortable ride home or to the hotel. For a company, the same ride is an expense that has to be documented, described and settled. A receipt is usually not enough – the accounts team needs an invoice issued to the company so the ride can be booked as a business cost and, in many cases, used to reclaim VAT under the rules that apply to that type of expense.

That is why a business transfer is planned slightly differently from an ordinary ride. When booking, it is worth flagging straight away that you need an invoice and handing over the billing details. That way the driver and the office know the ride is to be settled for a company, and you do not have to chase the document afterwards. This matters most for business trips, where every expense is later matched against the travel report.

✅ Invoice to company details ✅ Fixed price to expense ✅ No chasing the document
2) What a transfer invoice must contain

An invoice for a transfer is a standard accounting document. For your accounts team to accept it without questions, it has to carry the full buyer details and a clear description of the service. In practice we need three things from you: the full company name, the registered address and the tax number. Everything else – issue date, invoice number, amount and ride description – is filled in on our side.

Details you provide

  • Company name as registered.
  • Registered address.
  • Tax number (NIP / VAT ID).
  • Email for the invoice (usually a PDF).

What ends up on the document

  • Service description: transfer on a given route.
  • Date the ride took place.
  • Amount matching the agreed fixed price.
  • Order or project reference, if you supply one.

If you are settling a business trip, it helps to ask for the route and ride date in the description – that makes it easy to link the invoice to a specific trip. We usually send the document electronically, so it goes straight to whoever handles the expenses.

3) How to book a company ride step by step

Booking a ride with an invoice is no different from a normal reservation apart from one extra step – handing over the billing details. The whole process is simple and can be arranged in advance, before the flight or before a guest arrives.

1. Reservation

  • Give the route, date and time of the ride.
  • Flag that you need a VAT invoice.
  • Add the number of passengers and luggage.

2. Details and confirmation

  • Send the company name, address and tax number.
  • You receive a confirmation with the fixed price.
  • The invoice arrives by email after the ride.

You can book through the form on the home page, by phone or on WhatsApp. If you are not sure about the price for a given route, check the transfer price list first – it shows the rates for the most popular directions from Gdańsk Airport, and for routes outside the list we confirm the price at booking.

4) Business trips and guests from the airport

The most common business scenario is arriving at Gdańsk Airport on a work trip, or picking up a client your company has invited to a meeting. Both cases come down to the same thing: the driver waits in the arrivals hall with a name board, tracks the flight number in case of a delay, and drives to the agreed address – the office, a hotel or a conference venue. The guest does not have to hunt for transport at an unfamiliar airport, and the company knows the ride is taken care of.

What the pickup looks like after landing is covered in our guide on the Gdańsk Airport arrivals hall step by step. If the plane is running late, it helps to know how a delayed or cancelled flight is handled – flight tracking means the driver adjusts to the real landing time, and the ride still ends with an invoice for the amount agreed in advance.

Good practice: when arranging a guest pickup, give the name for the board and the company billing details at the time of booking. Then the whole chain – from the welcome in the hall to the invoice in accounting – runs without extra calls.
5) Recurring rides and B2B transport

Some companies need not a single ride but repeat trips: regular guest pickups, team drop-offs at the airport before flights, or staff transport between sites. These are planned ahead and invoiced – either after each ride or together on an agreed cycle. With ongoing cooperation, the way details are shared and the payment terms are set up front, which makes settlement predictable for both sides.

A special case is crew transport and crew changes, where punctuality and repeatable routes at all hours are what count. You can read more about how we run those on the crew change transport page. One-off corporate events – trade fairs, conferences or galas – follow very similar logistics to the timed group rides described in our guide on the fixed-price transfer model.

Typical company rides

  • Client pickups from Gdańsk Airport.
  • Team drop-offs for early departures.
  • Transfers to fairs and conferences (e.g. AmberExpo).

What makes cooperation easier

  • Billing details set once for good.
  • Fixed price known before every ride.
  • Settlement after each ride or in a cycle.
6) Fixed price and expensing the cost

For a company, the key thing in any settlement is that the cost is known up front and matches the invoice. A transfer works exactly like that: the price is set before the ride based on the route, and the invoice is for precisely that amount. Traffic on the ring road, waiting in the arrivals hall or a night-time ride do not change the price – unlike a metered taxi, where the final figure is a mystery until you arrive. How this model works is explained in our guide on the fixed-price transfer.

For a sense of trip costs, here are the fixed rates for the most popular routes from Gdańsk Airport. These are the same amounts that later appear on the invoice (EUR figures are approximate, at roughly 4 PLN to the euro):

Route from Gdańsk Airport Fixed price Typical business destination
Airport – Gdańsk city centre 130 PLN (ca. 33 EUR) office, hotel, meeting in the centre
Airport – Sopot 140 PLN (ca. 35 EUR) conference, spa hotel
Airport – Gdynia 160 PLN (ca. 40 EUR) port, offices and galas in Gdynia

The full list of towns and routes is in the transfer price list. If you want to understand what actually drives the cost of an airport ride, see our guide on how much a taxi from Gdańsk Airport costs – it explains why a predictable price is often more convenient for a company than a meter.

In short: flag at booking that you need an invoice, give the company name, address and tax number, and you get a ride with a fixed price and a document on the right details – ready to expense the business trip.
FAQ
Can I get a VAT invoice for a transfer from Gdańsk Airport?

Yes. A company ride can be settled with a VAT invoice – just flag it when booking and provide the billing details: company name, address and tax number. The invoice is issued for the agreed fixed price of the ride.

What details do you need to issue the invoice?

We need the company name, registered address and tax number. It also helps to give an email address for the document and an order or project reference if it should appear in the description.

Can recurring company trips be invoiced?

Yes. Repeat trips – airport pickups for guests, team drop-offs or crew transport – can be planned ahead and invoiced, either after each ride or together on an agreed cycle.

Is the invoiced amount the same as the price agreed before the ride?

Yes. A fixed price is set before the ride based on the route, and the invoice is for exactly that amount. Traffic or waiting time do not change the price, so the cost of the trip is known in advance.

Do I get the invoice straight away or after the ride?

The document is issued for the completed ride and usually sent electronically to the email you provide, so it reaches the person handling the expenses quickly.
